To get what you want - on time - every time - you must develop and use a tested and proven SYSTEM to produce the RESULTS you want.

What is a system?

* A system is any organized assembly of resources and procedures, regulated by interaction or interdependence to accomplish a set of specific functions.

* Also, a system is a collection of personnel, equipment, and methods organized to accomplish a set of specific functions. (In Silicon Valley, most people equate a system is a computer.)

OK. Using only boxes (for process) and circles (for data), you can draw (flowchart) almost any system. Figure 1 below shows the overall flowchart of our Documentation Express SYSTEM, which has evolved and improved over 30 years of usage.

This flowchart shows how I have assembled our resources, procedures, and methods, such as:

* A system for researching, organizing, writing, and managing documentation projects. * A system for interviewing Subject Matter Experts (SMEs: managers, programmers, engineers, managers, executives, etc.). * A system for streamlining processes for writing, editing, reviewing, updating, and releasing documentation.

Many of the boxes represent sub-SYSTEMS for things like:

* A sub-system for planning work.

* A sub-system for managing writers, illustrators, contractors, printers.

* A sub-system for coordinating projects and managing time.

* A sub-system for debugging new products.

* A sub-system for tracking work-in-progress.

* A sub-system for communicating with clients, staff, and vendors.

* A sub-system for scheduling work and reporting progress.

Well, let me explain with a real-world example.

A while back, I was working at a client's site. There was a guy there who had produced essentially nothing but CYA memos for the last 9 months. He and his SME (Subject Matter Expert) just "couldn't get it together."

The client asked me to help them.

I helped them by showing my chart, then having them use relevant parts of my system. (I did NONE of the technical work!)

The project was done in 3 short weeks!

Without my proven system, I would have to rely on "tribal knowledge" (like others who develop documentation).

Without a PROVEN SYSTEM every project becomes an expensive, time-consuming custom project, based on gossip, unconfirmed rumors, and workers' personalities!
